We are looking for someone to join our team to oversee our operations, logistics and help drive our sales activities.

 

IN A NUTSHELL

You will oversee our green bean logistics – working with our international suppliers to ensure that our coffee arrives on time and in good order and managing all domestic deliveries to our roasting customers around Australia. It involves managing our inventory, issuing invoices and contracts, and maintaining a very strong relationship with our warehouse team.

You need an eagle eye for detail. You are meticulous and efficient and you don’t mind spending a morning in a spreadsheet or on the phone chasing a delayed shipment or documentation. You also have excellent time management skills and are able to prioritise duties independently and be highly responsive.

Communication is a key part of this role. You will connect and coordinate with many different parts of our coffee supply chain – from our producing partners to roasting customers. Building strong relationships across this supply chain is critical so you need to love working with people from diverse professions and backgrounds. Naturally, this means that you have excellent written and verbal communication skills.

You are service-oriented at your core.  You are caring, genuine and authentic and able to think on your feet when things don’t go to plan.  You’ll need to be highly responsive and proactive with customers and prepared to go the extra mile to meet our high standards of exceptional customer service.

The week-to-week elements of this role will change a lot, and you must be a person who thrives on variety, is very self-motivated to design and improve upon systems, and is happy working independently and as part of a small and collaborative team. Of course, being part of a small team means that you will need to be comfortable wearing many hats, and able to take an active, hands-on approach within the business.

In addition to the specific tasks listed below, this role could also extend to participating or managing our Quality Control program, overseeing our social media platforms, actively managing customer relationships, and/or get involved in our green buying program.

 

SPECIFIC TASKS INCLUDE:

  • Managing local operations and logistics (dispatching green coffee, following up on deliveries, communicating with customers and managing costing)
  • Managing imports, including communicating with our supply partners, checking documentation, organising customs clearance
  • Developing and nurturing strong relationships with our warehouse and logistics suppliers and manage communications with them
  • Inventory management and reconciliation
  • Invoicing customers and issue sales contracts 
  • Providing exceptional customer support and after-sales service
  • Managing general operations and office administration

THIS JOB REQUIRES:

  • A minimum 2-year commitment
  • Experience in operations / administration
  • Proven experience working with Excel and familiarity of basic functions
  • Excellent communication skills – both written and verbal
  • A positive mindset and “can-do” attitude. Comfortable working independently and as part of a small team
  • A passion for learning, an open mind and curious nature
  • Flexibility and adaptability, including the ability to manage a high and variable workload and changing priorities, meet deadlines and solve problems on the fly.
  • Openness and willingness to continually evaluate personal progress, seek and utilise feedback and actively develop ways to grow, learn and develop skills.

ADDITIONAL FAVOURABLE ATTRIBUTES

  • A valid driver’s licence.

  • Coffee knowledge /experience
  • Cupping experience and or sample roasting experience
  • Background in finance / business
